TalentLMS Account Maintenance
Blue Stakes of Utah 811 currently has a TalentLMS subscription with a user cap of 500 users. TalentLMS is used for internal staff training, new hire candidates training, QTE user training, and Excavation Safety 101 training. These different use cases split user maintenance into four groups that require unique policies.
- Internal Staff
- All active Blue Stakes of Utah 811 staff will have an active account on TalentLMS. Users in this group will not have their accounts deleted due to inactivity while still an employee. Upon termination or resignation from Blue Stakes of Utah 811, TalentLMS access will be revoked alongside other accounts.
For all below user groups, IT will review the time since last login for each user on the workday nearest to the 15th of every other month. Any user that has been inactive for 60 days or more at the time of the review will be categorized according to their user group and added to a report. IT will send the report to the appropriate responsible approval authority and schedule the account for deletion exactly one week later. Should the responsible approval authority have a reason to keep a specific user account active despite their last login, the responsible approval authority should respond to the email with the user’s name and reasons they reject user deletion. If no email rejecting specific user deletion is received, IT will delete the mentioned users on the first workday of the following month.
- New Hire Candidates
- Approval: Jeanette Dietrich and Laura Raven
- New Hire Candidates will either be hired on and moved to the Internal Staff group or will be subject to the 60-day policy.
- QTE Users
- Approval: Jeanette Dietrich and Stephanie Brown
- Excavation Safety 101 Users
- Approval: Spence Felsted and Mary Ferrin
